1. Overview

O“Proply”, “we”, “us”) provides property management services to owners and tenants across Australia. We respect your privacy and are committed to protecting your personal information. This policy explains what we collect, why we collect it, how we handle it, and the choices you have. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using Proply, you agree to this policy.

2. Information we collect

We collect personal information that you give us, information generated as you use Proply, and information from third parties.

•Information you give us: name, email, phone, postal and property addresses, identity and verification details, banking and disbursement details, and anything you submit through the app.
•Collected automatically: device and browser data, IP address, log data, app usage and interaction data, and approximate location from your IP.
•From third parties: your previous managing agent, payment and identity-verification providers, tradespeople and suppliers, and public sources where relevant.

If you provide information about another person (for example a tenant, co-owner, or emergency contact), you confirm you are entitled to do so and that they are aware of this policy.

3. How we use your information

We use your information to create and manage your account, deliver and improve the service, process rent, payments, and disbursements, coordinate maintenance and inspections, communicate with you about your property and account, provide support, keep Proply secure and prevent fraud, and meet our legal and regulatory obligations.

We may send you service-related messages, and marketing messages where you have opted in. You can opt out of marketing at any time. We never sell your personal information.

4. When we share information

We share personal information only where needed to run the service or where the law requires it, including with the property owner or authorised tenants involved in your tenancy, tradespeople and suppliers engaged for maintenance, payment, banking, and identity-verification providers, our technology and hosting providers, professional advisers (legal, accounting, audit), and government bodies, courts, or regulators where required or permitted by law.

We require our providers to protect your information and use it only for the purposes we specify.

5. Sending information overseas

Some of our service providers (for example cloud hosting and analytics) may store or process information outside Australia, including in [the United States and the European Union]. Where we disclose information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.

6. Storing and protecting your information

We store information using reputable cloud infrastructure and apply technical and organisational safeguards, including encryption in transit, access controls, and monitoring. No system is perfectly secure, but we work to protect your information and to respond promptly to any data breach in line with the Notifiable Data Breaches scheme.

7. How long we keep it

We keep personal information only as long as needed for the purposes above or as required by law (for example, financial records retained for [7 years]). When information is no longer needed, we delete or de-identify it.

8. Your rights and choices

You can ask to access or correct the personal information we hold about you, update your communication preferences, or close your account. To make a request, contact us using the details in section 12. We will respond within a reasonable period and may need to verify your identity first. If we cannot give access or make a correction, we will explain why.

9. Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how Proply is used. You can control cookies through your browser settings, though some features may not work without them. We use [analytics providers] to measure and improve the service.

10. Children’s privacy

Proply is intended for users aged 18 and over. We do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version here and change the “last updated” date. If the changes are significant, we will take reasonable steps to notify you.
