Vetting a property manager? Start here.

A property manager interview goes well when both sides are honest about the bits that usually go unsaid. Most don't go that way.

If you're about to sign with a new agency, ask these twelve questions before you do. The answers, not the brochures, are what you're really hiring.

Operations

  1. On what day of the month do you disburse rent?
  2. How quickly after rent clears do I receive it?
  3. Can I see the trust ledger for my property in real time?
  4. How do you handle a tenant who is one day late vs ten days late?

People

  1. Who is the named property manager on my account, and what's their direct email?
  2. How long has my property manager been at the agency?
  3. If my property manager leaves, what's the handover process?
  4. How many properties does each manager handle?

Money

  1. Show me your fee schedule with every line item, including the bits you'd rather not call fees.
  2. What happens to interest earned on my rent while it's held in trust?
  3. How are maintenance jobs sourced and quoted? Do you take a margin?
  4. Can I see a sample monthly statement from a real property (anonymised)?

If the answer to any of these is "I'll get back to you on that," you have your answer. Good property managers know these answers cold, because they've been asked them before.
